Our Process: Built on Clarity, Driven by Results

We don’t start with tech, we start with truth. Our process is built to uncover what’s really holding your business back, so we can design systems that actually move you forward.

Our Process

We don’t jump to solutions, we dig into problems first.

At Rocket Systems, we believe great solutions start with great understanding. Our process is designed to uncover what’s really going on in your business, well before we touch a line of code or recommend a single app.

Understanding the Business

We kick off with an open conversation.

Explore Options

Once we understand where the pain is, we start exploring potential solutions.

Playback & Solution Framing

Next, we meet to reflect what we’ve heard, playing back your problem statements, business flows, and pain points to make sure we’re aligned.

Project Definition & Agreement

Once we’re all on the same page, we capture everything in writing, turning ideas and agreements into a clear, actionable document that sets the foundation for delivery.

Change Management & Training (Optional)

Change doesn’t just happen with software, it happens with people.

We don’t overcomplicate things.

We aim to get your system working as quickly as possible, while being flexible enough to adapt to the way your business actually runs. Every solution we build is designed to reduce admin, unlock visibility, and help you get back to focusing on what really matters.

✽  The Detail

Our Process

1

Understanding the Business

We kick off with an open conversation.

We want to know your business, your people, and how you work. That means walking through your current systems, workflows, and tools, but more importantly, we want to understand your pain points. What’s slowing you down? Where’s the friction? This phase is all about listening, not pitching.

2

Exploring Options

Once we understand where the pain is, we start exploring potential solutions.

This could mean starting small and building in phases. For example, beginning with CRM, then expanding to invoicing and projects. We’ll also help you understand the trade-offs between options like Odoo SaaS vs Hosted. If your needs are complex or unclear, we’ll recommend a dedicated scoping session with a business analyst. They’ll map out your workflows, data structures, and process gaps in detail, giving us a clear foundation for planning.

3

Playback & Solution Framing

Next, we meet to reflect what we’ve heard, playing back your problem statements, business flows, and pain points to make sure we’re aligned.

From there, we walk through potential solutions, highlight pros and cons, and call out anything the solution won’t cover. We also flag any change management or training considerations we think may impact the success of the rollout, based on what we’ve seen. If required, we’ll include these as part of the delivery scope.

4

Project Definition & Agreement

Once we’re all on the same page, we document it.

You’ll get a Statement of Work (SOW) with:

  • A clear project plan, timeline, and key deliverables
  • Technology choices, including SaaS vs Hosted
  • An estimate of hours and effort to complete the work
  • Odoo licensing and user costs
  • Ongoing support, hosting, and DevOps options
  • Key risks or unknowns flagged early
  • A request for a single point of contact from your team to keep things moving smoothly

5

Change Management & Training

Change doesn’t just happen with software, it happens with people.

If required, we can provide structured support to guide your team through the transition, including:

Training sessions tailored to different roles

  • Support documentation and user walkthroughs
  • Best practice guidance on workflows and processes
  • Open lines for questions and feedback during rollout

This is optional and based on your needs — but if we believe it’s important to the success of the project, we’ll call it out early and discuss it with you during planning.

6

Ongoing Support & System Optimisation

Our commitment does not end at go-live.

We offer ongoing support to ensure your system continues to operate as designed and adapts to the evolving needs of your business. This includes:

  • Technical support to troubleshoot issues as they arise
  • Regular system health checks to ensure workflows and processes stay on track
  • Periodic training refreshers or onboarding for new team members
  • Recommendations for system optimisation based on your usage and business growth

We believe that ongoing partnership is critical to long-term success. Whether you need ad-hoc help, structured review sessions, or a proactive support agreement, we can tailor a plan to suit your requirements.
